Managing your hackathon

Manage your hackathon with these helpful features:

Direct invitation to a hackathon

Invite coworkers to a specific hackathon by sharing a link from the Invite coworkers dropdown found on the hackathon page. Once the invitation link has been copied and shared, users will be prompted to sign in or sign up via SSO or password. Upon logging in, users will be taken to the associated hackathon page to register and participate!

Sending Announcements

Need to send important updates to your hackathon participants? As an Organizer, you can send a mass email immediately or schedule one for the future using the Announcements feature.

To begin, click on the megaphone icon — this will take you to the Hackathon announcements page. Click the Compose announcements button to draft, schedule, preview, and send announcements to one of the following Recipients:

  • Registrants of this hackathon
  • Submitters to this hackathon
  • Winners of this hackathon

Published announcements will be visible to everyone on the hackathon’s homepage and sent via email to the email address associated with their Devpost for Teams account.

Note: All scheduled announcements are in the hackathon’s current timezone.

Hackathon metrics

Hackathon creators can download two separate CSVs: Projects and Hackathon Registrants.

The Projects export shows the details associated with a given project while the Hackathon Registrants export provides information associated with the hackathon’s registrants (e.g. email address, role, and submission status).

To download metrics, click the Metrics icon on the hackathon page and you’ll be redirected to Hackathon Metrics. Click Download projects or Download status by the user; you’ll receive an email from [email protected] indicating that the file is ready to be downloaded.

Note: Data is updated hourly from the first visit to the hackathon's metric page (e.g. if the first visit is at 10:15AM, data will be updated at 11:15AM).

Selecting Winners

Once the hackathon is over, the next step is Selecting Winners. Winners can be selected by clicking Select winners > clicking the winning project associated with the award. You can Save your choices or Announce winners once you’ve made your final selections.

Sending a Participant Survey

After the hackathon concludes and winners are announced, organizers can collect participant feedback through a post-hackathon survey. To do so, they should go to the Metrics page in the Admin bar and customize the survey questions as needed. The survey will be sent automatically after the winners are announced, unless it is disabled. Alternatively, organizers can schedule the survey to be sent at a specific date and time.

Please note that all registered participants will receive this survey.
